1. Introduction

Herd Keeper ("we", "our", or "us") operates the Herd Keeper mobile application. This Privacy Policy explains how we collect, use, store, and protect information when you use our app.

By downloading or using Herd Keeper, you agree to the practices described in this policy. If you do not agree, please do not use the app.

2. Information We Collect

Account Information

When you create an account, we collect your email address through our authentication provider (Supabase). We do not collect your name, phone number, or any other personally identifiable information unless you voluntarily provide it.

Farm Data

Herd Keeper stores all farm management data locally on your device in an encrypted SQLite database. This includes:

• Goat records (name, breed, date of birth, gender, status)
• Weight logs, health records, and vaccination history
• Breeding and mating records
• Farm tasks, reminders, and calendar events
• Inventory, expense, and sales records

This data never leaves your device unless you activate cloud backup through a paid subscription.

Media Files

Photos and videos you attach to goat profiles are stored locally on your device. They are uploaded to our cloud storage (Supabase Storage) only if you have an active Advanced, Pro, or Max subscription with media backup enabled.

Camera Access

Max-tier subscribers can use AI scanner features (Body Condition Scoring, Plant Identification, Weight Estimation). When you use these features, the camera image is sent to our backend for real-time processing and is not permanently stored on our servers.

Device Information

We may collect basic device information (operating system version, device model) for crash diagnostics and app stability purposes. This information is not linked to your identity.

3. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve the Herd Keeper app
• Process AI scanner requests on behalf of Max-tier subscribers
• Sync and back up your farm data when you have an active subscription
• Diagnose crashes and fix technical issues
• Send important service-related notifications (account, billing)

We do not sell, rent, or share your personal information with third parties for advertising or marketing purposes.

4. Data Storage and Processing

Local Storage

All farm records are stored in a local SQLite database on your device. This database is private to the Herd Keeper app and is not accessible to other apps. You retain full access to your data even without an internet connection.

Cloud Backup

Structured farm records (goats, health logs, reminders, etc.) are backed up to Supabase at no extra cost as part of the one-time app purchase. Photo and video backup requires an Advanced, Pro, or Max subscription. All data transferred to the cloud is encrypted in transit using HTTPS and stored with Supabase's Row Level Security, ensuring only your account can access your data.

AI Processing

AI scanner requests are routed through our backend infrastructure (Cloudflare Workers). Cloud AI Chat uses the Anthropic Claude API. Images and messages sent for AI processing are used only to generate your requested result and are not retained or used to train AI models.

5. Third-Party Services

Herd Keeper uses the following third-party services, each governed by their own privacy policy:

• Supabase — authentication, cloud database, and file storage
• Cloudflare Workers — AI scanner request processing
• Anthropic — Cloud AI Chat (Max tier only)

We select service providers who meet appropriate security and data protection standards. We do not authorize them to use your data for purposes other than providing the service.

6. Data Retention

Your farm data is stored on your device for as long as you keep the app installed. Cloud-backed structured records are retained while your account is active. Cloud-backed media files (photos, videos) are retained while your subscription is active; they remain in storage but stop receiving new updates if your subscription lapses.

When you request account deletion, your cloud data is permanently deleted within 30 days. Local data on your device is removed when you uninstall the app.

7. Your Rights

You have the right to:

• Access — request a copy of the personal data we hold about you
• Correction — update or correct inaccurate information
• Deletion — request that your account and associated cloud data be deleted
• Export — receive your farm data in a portable format

8. Children's Privacy

Herd Keeper is not directed at children under the age of 13. We do not knowingly collect personal information from children. If we become aware that a child under 13 has provided us with personal information, we will delete it promptly. If you believe a child has submitted personal information, please contact us.

9. Security

We take reasonable technical and organizational measures to protect your information, including:

• HTTPS encryption for all data in transit
• Row Level Security on all cloud database tables
• No storage of plaintext credentials or API secrets on the client

No method of transmission or storage is 100% secure. In the event of a data breach that affects your rights, we will notify you as required by applicable law.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Continued use of the app after changes are posted constitutes your acceptance of the revised policy. We encourage you to review this page periodically.
